TravelLine Platform Privacy Policy

When you book Accommodation and additional services (services are provided only at Accommodation Facilities) in the online booking module TravelLine: Booking Engine on the Accommodation Facilities/Facility website, you use the software — TravelLine: Platform (hereinafter also referred to as the TravelLine Platform).

The Accommodation Facility shall be understood as the premises used to provide accommodation services (Hotel, Sanatorium, Hotel, Mini-Hotel, Hotel Complex, etc.).

The Accommodation Facility shall be understood as the premises provided to the Client for rent for a fee for temporary possession and use for living in it under a premises lease agreement.

Accommodation shall be understood as a room/apartment/house at the Accommodation Facility or a number (and/or services) at the Accommodation Facility.

All personal data that you enter during booking, during registration in the Guest Personal Account, or allow to receive from your accounts in third-party services (for example, VK ID, T-ID (Tinkoff ID), Sber ID, Alfa ID) and which is collected automatically, is completely safe. If you are concerned or not satisfied with the fact that you provide information, the possibility of displaying this information on the TravelLine Platform or the use of such information in other ways in accordance with this Privacy Policy or the Online Booking Rules through the TravelLine online booking module: Booking Engine, you should not become a user of the TravelLine Platform.

This document will tell you what personal data the TravelLine Platform collects, how it uses and protects it.

Why does the TravelLine Platform collect your data?

In order to be successfully checked into an Accommodation Facility/Facility, and to be included in the Accommodation Facility/Facility loyalty program and/or the Loyalty Partner Program of several Accommodation Facility/Facility (including to receive personalized offers and discounts, to receive “compliments” from the Accommodation Facility/Facility, etc.), it is necessary to transfer your personal data to these Accommodation Facility/Facility. The legal basis for the transfer of data is the agreements between the TravelLine: Platform developer and the Accommodation Facility/Facility.

You may not enter your personal data, but without it you will not be checked into an Accommodation Facility/Facility and will not be included in the Accommodation Facility/Facility loyalty program.

This is why the TravelLine Platform collects your data:

1. To transfer booking data to the Accommodation Facility/Property, including online payment or prepayment data for the booking.

2. To resolve issues related to online booking via the TravelLine online booking module: Booking Engine. To confirm your data, we will need either the booking number and access code, or your last name, first name, middle name, phone number, email, check-in and check-out dates.

3. So that the Accommodation Facility/Property can contact you by email, phone, SMS, or through third-party services in order to:

- clarify your details or booking details;

- report an incomplete booking;

- remind you about your trip a few days before check-in;

- send a discount from the Accommodation Facility/Facility after check-out for repeat booking;

- find out your opinion about the Accommodation Facility/Facility;

- clarify how convenient it was to book;

- offer you visa support, transfer, and air travel services;

- invite you to participate in hotel market research.

4. To analyze your actions on the TravelLine Platform for the purpose of improving it.

5. Using the TravelLine Platform, you can participate in the loyalty program of the selected Accommodation Facility/Facility. The TravelLine Platform transfers your data to the required extent to the Accommodation Facility/Facility you have selected, and also, if the Accommodation Facility/Facility you have selected participates in the Partner Loyalty Program with other Accommodation Facility/Facilities, to the said Accommodation Facility/Facilities so that you can receive personalized offers and discounts at the said Accommodation Facility/Facilities, accumulate and increase your overall loyalty level in the Partner Loyalty Program.

The TravelLine Platform ensures the security of your data processing.

What data does the TravelLine Platform collect?

The TravelLine Platform collects all the information you enter when booking on the Accommodation Facility/Property website using the TravelLine online booking module: Booking Engine: your last name, first name, middle name, residential address (zip code; region, republic, territory; city, town), contact information (phone number, email address), citizenship, gender, identity document details (series, number), payment details, details of guests whose legal representative you are and/or who will be staying with you in the room/apartment/house, accommodation preferences.

If, during the online booking process, you allow data to be obtained from your accounts in third-party services, the following information will be collected: identification number of your account in the third-party service; first name; last name; middle name; gender; date of birth; link to an avatar (photo) posted on a third-party service; email address; maiden name (if specified).

The TravelLine platform collects all the information that you enter when registering in the Guest Personal Account in the TravelLine: Booking Engine online booking module or that you allow to be received from your accounts in third-party services when logging into the Guest Personal Account using authorization in a third-party service: your loyalty card number, your last name, first name, middle name, phone number, email, date of birth. When you leave a review of the Accommodation Facility/Facility in the questionnaire that is sent to your email after check-out, it is also saved in the TravelLine Platform.

The TravelLine platform does not check the accuracy of your personal information that you enter during online booking or registration in the Guest Personal Account, or that you allow to be received from accounts in third-party services.

There is data that is sent to the TravelLine Platform automatically, without your participation. This is your IP address, time zone, online booking number, its status (completed, pending, modified, cancelled), currency, check-in and check-out dates, booking date and time, pages in the TravelLine online booking module: Booking Engine that you visited, and clicks on links.

The name and version of your Internet browser, language settings; the name and version of the operating system, if you book from a computer, or the characteristics and settings of the device, if you book from a smartphone or tablet, are also automatically collected.

Personal data of minors is collected and used only with the consent of their parents or guardians. If it becomes known that information about minors is being processed without the consent of a parent or guardian, we have the right to delete such information.

How TravelLine Platform works with cookies

Cookies are small text files that a website stores on your computer. TravelLine Platform collects cookies to further improve the booking process, make it more convenient and faster.

When you book Accommodation and services on the Accommodation Facility/Facility website, the TravelLine Platform collects your booking details and notes the sources from which you switched to online booking.

Some cookies are collected by the Yandex.Metrica service integrated with the TravelLine Platform. Yandex.Metrica settings do not collect personal information about you, but you can always refuse to collect cookies by blocking Yandex.Metrica according to the instructions: https://yandex.ru/support/metrica/ru/general/opt-out.html

You can choose which cookies to accept and which to reject in the “Help”/”Help” section of your browser.

With whom does the TravelLine Platform share your data

The TravelLine Platform transfers your personal data to the Accommodation Facility/Property you have selected for booking, Accommodation Facility/Properties within the Partner Loyalty Program, as well as to the service providers listed below, and only when necessary for you.

In order to provide you with personalized offers and discounts within the Partner Loyalty Program of several Accommodation Facility/Properties, so that you can accumulate and increase the overall loyalty level in the Partner Loyalty Program, each Accommodation Facility/Property participating in the Partner Loyalty Program has access to your data published in the Guest Personal Account.

If you log in to the Guest Personal Account in the TravelLine online booking module: Booking Engine using third-party services (for example, VK ID, T-ID (Tinkoff ID) and Sber ID), the specified service receives information about this.

Reliable and secure data storage is an important condition for cooperation with us. We share with the service providers listed below only the personal data that is necessary to provide you with services. They are prohibited from using your data for marketing purposes without your consent.

The TravelLine Platform has the ability to integrate with the following service providers:

1. Automated management systems of the Accommodation Facility/Property and CRM programs used by the Accommodation Facility/Property. You can check the name and version of the management system used with the Accommodation Facility/Property.

2. Payment systems and organizations that provide online payment services and issue a receipt for payment by bank card.

3. Partner companies of the Accommodation Facility/Property, whose services are integrated with our online booking module TravelLine: Booking Engine.

4. Partner companies of the Accommodation Facility/Property that provide you with additional services, such as transfer or visa support.

In addition to service providers, we send your data to law enforcement agencies in cases provided for by applicable law.

How the TravelLine Platform stores and protects your data

To protect your personal data, the TravelLine Platform uses modern computer security tools and provides for restricting access of unauthorized persons to the resources of the TravelLine Platform.

TravelLine Platform databases are encrypted, and when transmitting personal data, communication channels are protected using the Transport Layer Security (TLS) protocol.

The TravelLine Platform development team monitors and quickly eliminates security issues that may arise due to external factors. If necessary, you will be informed of possible problems and told how to avoid them.

How you can manage your data

You may make a mistake when entering data or later want to delete data from the TravelLine Platform.

To manage your personal data, you can:

1. Go to the booking modification page using the link in the booking confirmation to:

- change the data in whole or in part.

2. Write to the email address ladahotel@bk.ru to:

- request a list of your data processed by the TravelLine Platform;

- delete data from the TravelLine Platform.

3. Unsubscribe from marketing mailings of the Accommodation Facility/Facility using the link in the marketing letter itself.

At the moment, to delete the Guest's Personal Account in the TravelLine Platform and the entered data, you need to contact the selected Accommodation Facility/Facility with a request.

Processing and storage periods, procedure for destroying personal data in the TravelLine Platform

The TravelLine Platform stores your personal data for as long as it is necessary to achieve the processing purposes specified in the Section “Why the TravelLine Platform Collects Your Data” and for the period established by the Accommodation Facility/Object in the TravelLine Platform, unless other periods are established by law.

The destruction of personal data, the processing of which is carried out to achieve each of the purposes of personal data processing, is carried out in the following cases, unless otherwise provided by law:

- upon achieving the purpose of personal data processing or in the event of loss of the need to achieve the purpose of personal data processing;

- upon detection of the fact of unlawful processing of personal data;

- upon withdrawal of consent to the processing of personal data by the subject of personal data;

  - when the subject of personal data presents a request to stop processing personal data.

Methods of destruction of personal data are determined by local regulations of the Accommodation Facility/Facility depending on the processing method, capabilities of the personal data information system and the type of personal data storage medium.

If you want your personal data to be deleted from the TravelLine Platform database, write about it to the email address ladahotel@bk.ru.

How are changes made to the Privacy Policy

The text of the Privacy Policy may be changed. When changes are made, the date of the last update will be indicated in the current version. The new version of the document will come into force from the moment it is posted in the online booking module TravelLine: Booking Engine, unless otherwise provided in the text of the Privacy Policy.

If you refuse to provide your data, the TravelLine Platform does not guarantee the technical ability to independently book Accommodation at Accommodation Facilities/Objects via the TravelLine online booking module: Booking Engine and/or receive personalized offers and discounts within the framework of the loyalty program of the Accommodation Facilities/Objects, the ability to accumulate and increase the overall loyalty level in the Partner loyalty program of several Accommodation Facilities/Objects.
